Print or send quotation document

There are two ways to print or send a quotation document:

You can click on the menu item Print or send whilst on a specific quotation



From the quotation list you can select one or more and click on the Recap button (a single document will be generated)




The Print or Send screen is divided into two parts.

On the right you can see the preview of the document, this is updated according to the language and settings selected in the left part.

Here are the fields on the left side in order:

1. Action - You can select an action between print and send


2. Language - You can specify the language of the document, which will affect the text of the document itself, and the subject of the email that is suggested by Sengerio (see below).



If you are sending the email, there are additional fields:

1. Sender - The sender's name and email address can be chosen from among those that Sengerio automatically suggests, or it can be entered manually.

In both cases Sengerio will remember the choice for the next time a quotation is sent.

The suggested information is the name and e-mail registered to your user data and also the information registered to the account or subaccount selected for the specific quotation.

It is important to note that the sender must be written as name<email> and the two fields must be modified individually.


2. Recipient - The recipient's name and email address can be entered manually but is suggested by Sengerio if their details are already in the system. This is applicable even if there is more than one recipient.


3. Cc and Bcc - These fields are only visible if they are selected.

If they are visible, they function similarly to the the recipient field.



4. Subject - The subject of the email is automatically suggested by Sengerio based on the quotations you are sending and the selected language, but you can change it at any time.


5. Canned emails - By pressing on the corresponding label you can choose one of the canned emails that you have registered for the selected language, and its text will fill the body of the email.

To define a default email for a certain language, after selecting that language, press on the label and finally on the pencil.


In the window that appears you can edit, add or delete any predefined email (relating to the quotation and the selected language).



6. Body - This is the text of the email that will be sent.


7. Additional options - You have various options available (especially in the case of printing) to decide what to show or hide in the document (click on Show more to see them all).

For example, the email usually contains a link to the quotation, but by removing the tick from Email with link, the document automatically becomes text only. Hence, the customer will see a text only version of the quotation in the email.


8. Followup - Register one or more automatic followups that Sengerio will send when you want (see this guide).




Inside the document itself, on the right side, you have the possibility to make various customizations.

You can write directly in the fields of the header, introduction and greetings to modify the texts automatically suggested by Sengerio


In each of these fields you can use formatting tools to style the text or add images and links.

In order, from the left, you can: 

  • Choose font format
  • Add bold, italics or underlined
  • Color the text
  • Create lists and align the text
  • Remove any formatting
  • Add an image (no more than 150 KB)
  • Add a custom link



Finally, you have the possibility to save all the changes to the texts and the customizations made by pressing on Save as template at the bottom and giving it a name.

Every time you make a new quotation document you can resume the saved template in an instant.



All printed or sent documents are saved in the archive which you can retrieve at any time.

Access a quotation and click on the menu item Printed or sent documents to view those relating to that specific quotation.


In the list, an icon will indicate whether the document has been printed or sent by email. By clicking on the row you can open the document.

If sent via email, in addition to resending it, you can see the text of the email sent and follow its journey (e.g. delivery and read status).
